Camp Day Coordinator

 

  • Calls participating camps in June( or at least 2 months prior to the event) to book the date. The fair is held first semester to assure that camps will have places available. Confirm time, location, date with camps.
  • Check with the Director that four tables have been ordered for displays; more will be needed as the number of camps increases.
  • Check with director for expected attendance. Parents will come to schmoose with directors from 10:30-12:15 and will return with kids when Sunday school is over.
  • Send or email to the Director, a “hold the date” flyer to be sent home 4-6 weeks before the camp fair, and another, with details, for two weeks prior to the event.
    set up: set up by 10:45 and clean up by 12:30PM.
  • Make 4 posters for the day of the camp fair. Place somewhere noticeable for parents who might normally just drop their kids at the street and forget to come up: One for each tree coming up the two paths and one for the front of Golding

Supplies Needed:

  • Tape – to hang signs and poster on outside of building
  • Nails and a hammer to hang posters on trees
  • Name tags for workers and camp people

On the Sunday:

  • Arrive by 9:15 AM to hang posters. (or deliver them the prior week to the office staff and ask them to put them up early, before drop off, on the week of the event.)
  • Parents will chat with camp people (who will bring their own materials).
  • Parents will pick up kids and return to the Camp Fair to talk to camp people with kids.
  • Remember to take the signs and posters down
  • Drop a quick thank you by e-mail or note to camp representatives who attended
  • Make notes for next year’s coordinator

Please note: Parents will only be reimbursed for expenditures over $50.00, with the first $50.00 deducted.
